You know the feeling. Summer wraps, the dust settles, and you sit down to write the season report that basically writes itself in your head. It felt busy. It felt good. Camp had laughter, muddy sneakers, and the usual chaos that means everything went right. But before that story goes into the report, run it past three numbers that don’t lie the way memory sometimes does.

Check enrollment against your target, add up what the season actually cost, and look at revenue per camper instead of just the total.

Enrollment against target, not against how full it felt

A packed check-in day and a full parking lot can make a season feel like a win. But the number that matters is the one you set before the season started. Back then, you planned staffing and budgets around a specific enrollment goal. If that number came in under target, even a busy-feeling season might be running lighter than it looked from the front desk. Pull the real number and compare it to the plan, not the vibe.

What the season actually cost

The spring budget was a guess, and a decent one, but it isn’t the final answer. The real cost includes the staffing you added when a session filled faster than expected. It includes the last-minute repair that couldn’t wait. It includes every small expense that came up along the way and quietly blended into the noise of a busy summer. Add it all up before you write anything down. A season can look profitable on paper and still cost more than you planned.

Revenue per camper, not just total revenue

This one hides the easiest. Total revenue can hold steady, or even grow, while revenue per camper shrinks underneath it. That usually means you gave out more discounts, granted more scholarships, or let pricing fall behind what the season actually required. Check this number on its own. Don’t let the total tell the whole story for you.

What do yours say?

None of this is about doubting a good season. It’s about making sure the report you write matches the season you actually had, not the one that felt good while you were living it. Pull these three numbers while everything is still fresh. Let them shape the story, instead of the other way around.
